Privacy Policy
Last updated 14 October 2026
1. Scope
This policy applies to the Quidex application, formerly named Ontiqo File Organiser (Quidex or the Program), and the website at quidex.app (the Website), both provided by Ontiqo Pty Ltd (ACN 701 340 418) of Daylesford, Victoria, Australia (Ontiqo, we, us).
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. Where you are outside Australia we also aim to meet the reasonable expectations of the privacy law that applies to you, including the GDPR and the UK GDPR where they apply.
2. The Program
The Program reads the files and locations you direct it to on your own computer. All reading, indexing, searching and organising is performed on that computer. The content of your files is not transmitted to us and we have no means of accessing it. This is a property of how the Program is built, not a configurable setting, and it is also a term of the End User Licence Agreement (clause 4).
The Program has no user account and sends us no usage analytics, crash reports or telemetry. It makes outbound network connections only in the following cases:
- Connected cloud storage. If you connect a cloud storage account, the Program communicates directly with that provider, using a sign-in performed by the provider. We do not receive your password. That traffic is between your computer and the provider, under the provider’s terms and privacy policy.
- Optional lookups. Optional features may consult public reference services, for example to identify a published book or recording. Each is off until you turn it on, and the Program states beside each switch what would be sent. That is typically a short identifier, such as a catalogue number, and never file content.
- Update checks. When you ask the Program to check for a newer version, or turn on the optional check at start-up, it fetches a small version file from our website. The request carries no identifier and no information about your files.
- Licence activation. Activating a licence key sends the key and a machine identifier to our licensing service, operated for us by a licensing provider (section 6), so that the key can be checked and the activation recorded against the number of computers it covers. The Program rechecks the licence from time to time. No file content and no information about your files is sent at activation or at any recheck.
- Downloads. Downloading the Program itself, and any optional component you choose to fetch after installing it.
The Program stores its index (what it has learned about your files) on your own computer, alongside the Program. Removing the Program removes the index. The undo record the Program writes when you commit a reorganisation is stored in your Documents folder and belongs to you.
3. The Website
The Website collects the information a website ordinarily needs, and nothing that identifies you personally unless you provide it.
- Server and edge logs. The Website is served through Cloudflare, which records standard request data (IP address, page requested, browser type, referring page and timestamps) to deliver the Website and protect it from abuse. Cloudflare’s privacy policy governs that processing.
- Visitor analytics. We use Cloudflare Web Analytics to see aggregate visitor counts, the pages viewed, visitors’ countries and the sites that referred them. It does not use cookies, does not fingerprint devices and does not track visitors across other sites. It is not loaded on the licence-key page.
- Cookies. We set no advertising or tracking cookies, and we do not sell, rent or share visitor data with advertisers or data brokers.
4. Information you send us
- Support requests. Support requests are made through the form at ontiqo.com/support or by email. We receive your email address, what you write, and the topic you choose. We use it to answer you and to fix what you report, keep it for as long as it is useful for that purpose, and do not use it for marketing or share it with anyone else. Please do not send us the contents of your files; a description is sufficient. Support email is processed by Purelymail.
- Release notification. If you ask to be told when Quidex is released, we keep your email address for that one purpose, send that one email, and delete the address on request.
5. Purchases and licences
Quidex has not been released, no licence can currently be bought, and we hold no purchase data. This section describes how purchases will be handled if licences are sold.
Purchases will be handled by a merchant of record, a payment company that is legally the seller. It will take payment, issue receipts and invoices, and hold payment details; we will not receive or store card numbers. From a purchase we will receive your name, email address, country, the licence purchased and the licence key issued. We will keep those for as long as the licence is valid and afterwards for as long as tax and accounting law requires. The provider will be named here, with a link to its privacy policy, before the first sale. Licence activations (section 2) are recorded against the licence key so that the number of covered computers can be enforced.
6. Service providers and disclosure
We use a small number of service providers to operate the Website, support and the licensing service: Cloudflare (hosting, delivery, security and analytics) and Purelymail (support email). A payments and licensing provider will be added to this list, and named, before any licence goes on sale. Each provider processes information only to provide its service to us. We do not sell personal information. We otherwise disclose it only where the law requires it, or to protect our rights or someone’s safety.
Some providers process information outside Australia, including in the United States and the European Union. Where that happens we rely on the provider’s own commitments and safeguards for the transfer.
7. Security
The Website is served over HTTPS with strict security headers. The licence-key page is never cached and never indexed. Support mail and licence records are held in access-controlled services. No system is perfectly secure.
8. Access, correction and deletion
You may ask what personal information we hold about you, and ask us to correct or delete it, through the support form. We will respond within a reasonable period and honour any right the law gives you. If you are in the European Union, the United Kingdom or another jurisdiction with data protection rights (access, rectification, erasure, restriction, portability and objection), you may exercise them in the same way.
9. Complaints
Complaints may be made to us through the support form, to the Office of the Australian Information Commissioner (oaic.gov.au), or to the supervisory authority where you live.
10. Children
The Website and the Program are not directed at children under 16, and we do not knowingly collect personal information from them. If you believe a child has sent us personal information, contact us and we will delete it.
11. The licence agreement
The Program is licensed under the End User Licence Agreement, which is shown inside the Program and must be accepted before use. It contains the Program’s privacy commitments in binding form, including that file content is processed only on your computer and is not transmitted to us. Where this policy and that agreement describe the same thing, the agreement governs the Program.
12. Changes
We may amend this policy at any time. The version published at quidex.app/privacy, with the date shown above, applies. Any material change will be stated on this page.
